Executive Virtual Assistants UK

Executive Virtual Assistants · UK & Ireland

An Executive Assistant who actually thinks two steps ahead

When the bottleneck in your business is the inbox you can’t get out of, the calendar that contradicts itself and the board pack that nobody owns — you don’t need a “VA”. You need an Executive Assistant who anticipates, drafts, decides and protects your time. From £968/month.

What our Executive VAs handle for British & Irish executives

  • Inbox & correspondence — triage, draft replies in your voice, escalate what only you can answer
  • Calendar architecture — protect deep-work blocks, reconcile multi-stakeholder scheduling, manage the “no” list
  • Travel & logistics — UK and international, including visas, transfers, expense reconciliation, itinerary packets
  • Board & investor prep — agendas, papers, minutes, action follow-up, deck assembly
  • Confidential research — market, competitor, prospect, candidate & supplier diligence
  • Project execution — owning the moving parts of a launch, fundraise, hire or migration
  • Personal logistics (where appropriate) — household, travel, family scheduling
  • Stand-in availability — a back-up VA briefed on your business when yours is on leave

Why a South African EVA works for UK businesses

Same working day

GMT+2 means your EVA is at her desk before you reach yours and clocks off after most UK lunches. Real-time response, no async delay.

Calibrated to UK norms

Every EVA is briefed on UK calendar etiquette, salutations, time formats, Companies House filings and HMRC quarter ends.

Discretion as a default

NDAs are signed before introduction. Bitrix24 cloud means data never sits on a personal device. Fit for board-level confidentiality.

Built for the long haul

SafetySA’s EVA has been with them for over four years. Capitalixe expanded from one EVA to a second hire. Stability is the dividend.

[vac_faq title=”Executive VA — Frequently Asked Questions”]
[q]How is an Executive VA different from a “regular” VA?[/q]
[a]An Executive VA carries judgement. She doesn’t wait for instructions — she anticipates, drafts, escalates only what needs you, and closes loops you’d normally have to chase. We screen specifically for written English at executive level, calendar architecture skill, discretion, and the ability to operate in ambiguity. Most of our EVAs have prior C-suite or law firm experience before joining VAConnect.[/a]

[q]Will my EVA understand UK business etiquette?[/q]
[a]Yes. We brief every EVA on UK-specific norms before introduction — salutations (Dear / Kind regards), date formats (DD/MM/YYYY), 24-hour scheduling for international meetings, Bank Holiday calendar, BST/GMT switch, HMRC and Companies House timelines, GDPR-aware correspondence. Your EVA also picks up your firm’s voice within the first 2–3 weeks.[/a]

[q]Can my EVA handle confidential or board-level work?[/q]
[a]Routinely. Roughly 30% of our EVAs support C-suite executives. Every VA signs an NDA before being introduced. We use Bitrix24 cloud storage so client data is never written to a personal device. We’ll happily complete vendor security questionnaires and sign your DPA. SafetySA, a 500+ person organisation, has trusted our EVA with EXCO and CEO support since 2021.[/a]

[q]What hours will my EVA work?[/q]
[a]Your hours, in your timezone. South Africa is GMT+2, so a 9–5 UK schedule is roughly 11–7 SAST — completely standard for our EVAs. If you need split shifts (e.g. early UK + late US), we’ll match for that. Hours are dedicated to you and non-transferable to other clients.[/a]

[q]Can my EVA travel with me or attend in person?[/q]
[a]Our EVAs are remote — they don’t travel with you. But they handle every logistical layer of your travel: bookings, transfers, visa support, expenses, itinerary packets, calendar holds for travel days, and on-trip remote support if something goes wrong (a missed connection, a venue change). Several clients have remarked it feels more managed than having an in-person EA.[/a]

[q]How long until my EVA is fully up to speed?[/q]
[a]Week 1 — onboarding to your tools, voice and priorities. Weeks 2–3 — owning recurring work (calendar, inbox triage, status reports). Week 4 onwards — proactively raising issues and proposing solutions. Most clients tell us by week 6 they couldn’t go back to running without one.[/a]

[q]Can I hire my EVA permanently after a few months?[/q]
[a]Yes — once-off £3,860. The EVA is then yours to employ directly, with no ongoing management fee from us. We’ll support the transition. Roughly 5% of clients choose this route; the other 95% stay on the managed model because they value VAVarsity, Atomic Energy, VAPI and our replacement guarantee.[/a]

[q]What happens if my EVA is on leave or sick?[/q]
[a]Priority Stand-in availability is built into every EVA package. When your VA is unavailable we activate a briefed back-up so urgent work — calendar, urgent inbox, scheduled comms — doesn’t slip. Most clients tell us this is one of the most underrated parts of the managed model.[/a]
